Before you ask us.
Because ERPNext itself has no per-user licence, so there is no licence fee for us to pass on per name. What costs us is the people working at the same moment: they are what the server, the backups and the support carry. So that is what you pay for. Everything around the system is in the price: hosting, nightly backups, updates, monitoring and support. To compare honestly, count your busiest hour, then add up what you pay today for the software, the server, backups and whoever looks after them. If most of your staff are signed in all day, a seat price comes close to a per-user one; if they come and go, it costs less.
The next person to sign in is asked to wait, and told why; nobody already working is thrown out. A seat comes free when someone's idle session ends, or at once when you add seats from the system's plan page, which applies as soon as the difference is paid.
Yes, while they are working. A request signed with an API key or token takes a seat the way a person signing in does, and gives it back 15 minutes after its last call. An integration that runs around the clock holds one seat all the time, so count it when you choose your seats. A person who is signed in and also uses the API counts once.
ERPNext and the core apps are on every system from the first minute. Each plan also names which add-ons are included, which you may pick free within its allowance, and which are paid add-ons at a monthly price. Apps your trade needs can add to the total; your launch shows the full figure before you confirm.
Your first system starts with a free trial when the plan offers one: no card, you only confirm your email. The first invoice is raised when the trial ends, and you have seven days to pay it.
Move up any time: we charge the difference for the days left in your cycle, and the change applies once it is paid. Moving down takes effect at the next renewal, with nothing to pay. Your price stays what you agreed until you change your plan or your seats.
No. Monthly plans renew each month; yearly plans are cheaper because you pay for the year up front. Cancel whenever you like: your system runs to the end of the cycle you paid for.
VAT is added where the law requires it, at the rate on the invoice. Once it applies to our prices, every price on this page says it excludes VAT, and the estimate shows the total with it.
