Getting started

The trial, signing up and your first system. 6 questions

How does the free trial work?

The trial starts straight from sign-up and runs for seven days, with no card. You get a complete ERPNext system on your company's own address, so you can run your real cycle on it: sales, purchasing, stock and accounting.

How long does it take to set up my system?

Minutes. Your system is set up automatically after you sign up: the database, the core apps, an SSL certificate and nightly backups. You get a message the moment it is ready to sign in to.

Do I need technical experience to use the system?

No. The servers, updates and backups are ours to run. Using the system itself is like any modern accounting software, and the user guide walks through the everyday screens in short lessons. If you would like your team trained, we have training tracks by role, at a fixed price.

What happens when the trial ends?

You choose a plan and your system carries on with all its data — nothing to enter again. If you don't choose, the system pauses and your data stays safe until you come back.

Does the system work in Arabic?

Yes. ERPNext works in Arabic and English, with the interface mirrored right to left. We set your system up in Saudi riyals with a ready chart of accounts, and each user picks their own language.

How do I move my data from my current system?

If it lives in spreadsheets, ERPNext's import tools usually do the job: customers, suppliers, items and opening balances. If you would rather we did it, the implementation packages cover the migration and checking it with you.

Pricing & billing

Plans, seats, invoices, VAT and cancelling. 6 questions

How is pricing worked out?

A monthly or yearly subscription per system, by plan and by the number of concurrent users. Every price is on the pricing page, and there is no setup fee.

What does “concurrent users” mean?

The people inside the system at the same moment, not the number of accounts. Create up to 500 users per system; only active sessions count against your seats, and an integration working through the API holds a seat while it runs. Count your busiest hour, not your headcount. The details are on the pricing page.

How do I pay?

By card from your dashboard, or by bank transfer. Every payment comes with a tax invoice in Saudi riyals.

Do prices include VAT?

Prices are shown before VAT, which is added on the invoice at 15%.

Can I upgrade or downgrade later?

Yes. An upgrade takes effect at once, and you pay the difference pro rata for the days left in your cycle. A downgrade applies at your next renewal, with no fee.

Is there a long contract or a cancellation fee?

No. Monthly plans renew monthly and you can stop at the end of any cycle; yearly plans cost less because you commit to the year up front. No cancellation fee, no exit fee.

Hosting & updates

Where your system runs, upgrades and uptime. 6 questions

Who handles updates and upgrades?

We do. Every release is tested before it reaches you, then rolled out system by system with a backup taken first. If you have a custom app that could be affected, we tell you before the upgrade, not after.

What if the system goes down in the middle of the night?

Every system is checked every five minutes, so we usually know before you do. Anything that stops your work gets a first response in under 15 minutes, day or night.

What uptime do you commit to?

99.9% a month, measured for each system on its own. The full commitment and response matrix are on the pricing page.

Can I use my company's own domain?

Yes. Your system arrives on a ready platform address, and you can connect your own domain with an SSL certificate included. How many domains a system can have depends on the plan.

Do I get access to the server?

You get bench console access, read access to the database on request, and full backup downloads at any time. Root on the server stays with us — that is what makes the uptime commitment possible.

Will the system keep up as my company grows?

Yes. Move to a larger plan with more seats and resources from your dashboard; your system stays as it is, with all its data, nothing to move or set up again.

Data & security

Backups, access, owning your data and leaving. 5 questions

How are my backups taken?

A backup every night for every system, another whenever you ask from your dashboard, and one before every update. You can download any of them in full at any time.

Can I get data back if something is deleted by mistake?

Yes. Ask support for a restore and we bring your system back to the last backup before the mistake. It is exactly why we take a manual backup before any big change.

Who can get into my data?

You and your team. You are the administrator and decide what each user can do. Our support team signs in only with time-limited access you grant, and it expires on its own.

Is my data mine, and what if I want to leave?

Your data is yours. When you leave you get a full copy of the database and the files archive, and a call to walk your new provider through the setup. No exit fee, and your data is never held back.

How do you protect my account from break-ins?

Two-step verification with an authenticator app, recovery codes for emergencies, and an alert whenever someone signs in from a new device. Every connection to your system is encrypted with SSL.

Apps & add-ons

The marketplace, custom apps and mobile apps. 5 questions

Which apps come with the subscription?

ERPNext and the core apps are on every system from the first minute. Each plan says which add-ons are included, which you can pick free up to its limit, and which are paid monthly. The marketplace shows the answer for every app before you turn anything on.

How do I add an app to my system?

From the marketplace in your dashboard: pick the app and it is installed on your system in minutes, with no technical work on your side. A backup is taken before every install.

Can the system be shaped to the way we work?

Yes. Fields, forms, print formats and approval workflows are changed inside the system itself. Anything beyond that, our customization service builds for you.

Do we keep our custom apps if we move to you?

Yes. We take your repositories, wire them into the deploy pipeline and align them with the Frappe version you run. If an app would block an upgrade, we tell you what fixing it costs.

Do you build mobile apps for our system?

Yes. We build mobile and web apps on top of ERPNext — for your sales reps, your warehouse and your customers — reading from and writing to your system directly.

Support & services

Who answers, how fast, and help beyond hosting. 5 questions

How do I reach support?

If you are a customer, open a ticket from your dashboard and it goes straight to the on-call engineer. If you are not yet, write to us or talk to us on WhatsApp.

When is support available, and in which languages?

Our team answers in Arabic and English, around the clock. Anything that stops your work has an on-call engineer, day and night.

How quickly do you respond?

Around the clock: under 15 minutes to first response when something stops your work, and within one day for requests and questions.

Can you help us with implementation and training?

Yes. Implementation packages come in hours, priced up front: moving your data, setting up accounts and warehouses, and training your team on the screens they use every day.

Is support included in the subscription?

Technical support for your system and running it are included in every plan. Work built for you specifically — customization, training, moving data — has a published fixed price, or a written quote agreed before it starts.

Didn’t find your question?

Ask the people who run the platform. An engineer in Riyadh replies on WhatsApp or by email, usually within hours.
